In Japan you do not file your own immigration application. Your school does it for you — and the statement you write goes into that file. Which means the school's document list, not a template, is your specification.
Japan's student route runs through the Certificate of Eligibility (CoE). The CoE is issued by a regional immigration authority under the Immigration Services Agency, and it certifies before you ever reach an embassy that your intended activity in Japan is genuine and falls within the Immigration Control Act.
The part that surprises applicants: in most cases the school applies for the CoE as your proxy. You do not stand in front of an immigration officer and you do not upload the file yourself. You give your institution a package of documents, they submit it, and the immigration bureau decides on paper.
Your written statement — usually called the reason for applying, or a study plan — sits inside that package. It is read by immigration, filed by your school, and specified by your school. The required documents differ between institutions, which is why the honest answer to "what does Japan require?" is: ask the school that will file for you.
Who reads it: two readers with different questions — an admissions tutor first, then a visa officer. Write two documents, not one; the same facts, argued differently.

The CoE examination is documentary and is looking for coherence between three things: that you are genuinely coming to study, that someone can pay for it, and that your history supports both. Statements written from South Asia are examined closely against the financial documents that accompany them.
Is the activity genuine
The CoE certifies that the activity stated in the application is not false and is one the Immigration Control Act allows. Study means study — the file is read for signs that the real purpose is work.
The financial supporter, in detail
Japanese CoE files typically require the sponsor's identity, relationship, occupation, income and the source of the funds — often with several years of evidence. Your statement must match all of it.
Language capability and study plan
Which language your programme is taught in, what level you hold, and how you will reach the level the course needs. Japanese-taught programmes generally expect JLPT evidence or an equivalent study record.
Your academic and work history
Gaps, changes of field and time since your last study are examined. A long gap without explanation is one of the most common reasons a CoE file is questioned.
Consistency across the package
The school submits everything together. Your statement, your sponsor's affidavit, your bank documents and your transcripts are read as one document.
Get your school's own form or specification first. Write to it. Only where they leave the format open does the general shape below apply.
Ask the school for its document list and template
Most institutions issue one, often with a fixed reason-for-applying form and a required length. That form outranks every guide, including this one.
State why Japan, specifically and structurally
A technology, an industry, a research area, a company sector, a partnership between your field in Nepal and Japan. Anime, culture and cleanliness are not study reasons and are read exactly as they are.
State why this school and this course
The programme, its length, its language of instruction, and one concrete feature. For language schools, say what course level you are entering and where it leads afterwards.
Set out your language plan honestly
What you hold now, what the course requires, and how you close the gap. Overclaiming here is checked against the certificate in the same package.
Explain the funding as the file will show it
The supporter, their relationship to you, their occupation and income, and the source of the money. Japanese CoE scrutiny of finances is detailed — your statement should read as a summary of the evidence, never as a claim beyond it.
Close with the path after graduation
A specific one: a sector in Japan under its post-study routes, or a role in Nepal. Japan's change-of-status route for graduates is legal and published, so an honest plan is better than a vague one.
Write plainly and check names, dates and figures character by character. Japanese administrative processing is unforgiving about inconsistency, and the file passes through your school before it reaches immigration — two chances to catch an error, and two places it can be found.
Required documents differ from school to school — contact the school for the required documents — so the single most common failure here is following a generic "SOP for Japan" instead of the school's own form and list.
Ignoring the school's template
Where the school issues a form with fixed fields, a free-form essay is the wrong document and may be sent back.
Culture as the reason
Anime, food, safety, politeness. Common, honest, and useless as a study reason in a documentary examination.
A funding story the documents do not carry
Japanese CoE files usually require the supporter's income and the source of funds over time. A recent balance with no history is the classic problem.
An unexplained gap
Time since your last study is examined. Name it — work, exams, family, a previous refusal — in one sentence.
Overstated Japanese
Claimed levels are checked against certificates and study hours. Language schools in particular record your prior study hours in the file.
A plan that is really a work plan
Student status carries limited permitted part-time hours. A file whose financial plan depends on that work reads as a work application.
Inconsistent name spellings and dates
Across the passport, transcripts, sponsor documents and the statement. Small mismatches cause real delays in a paper process.
Leaving it to an agent entirely
Your school files the CoE, but the statement is meant to be yours. A statement identical to five others from the same agency does not help the school that has to submit it.
One practical consequence of the proxy structure: your school is invested in the file succeeding, and will usually tell you what is weak in it. Ask them. It is the closest thing to a free review any of these sixteen systems offers.
Financial documentation for Nepal is examined hard. Expect to evidence the supporter's occupation, income over multiple years, and where the money came from. Build the paperwork before you write the statement, then write from it.
Document legalisation takes time. Nepal is not in the Hague Apostille Convention, so certificates travel through MoEST and MoFA. Japanese intakes are fixed — April and October for most language schools, April and September for many universities — and the CoE process itself takes months.
The MoEST No Objection Certificate belongs to the same funding chain. Keep one sponsor story across the NOC, the bank documents and the statement.
Do I write an SOP for a Japanese student visa?
